We kindly ask for 24 hours notice before cancelling, so that we can offer the time slot to another as needed. We are happy to reschedule your session if our schedule allows. There is no charge for cancellations when given 24+ hours notice.
If a family cancels less than 24 hours before a session, we charge a fee. For no-shows (cancelling after a therapist has begun driving to your home, usually 15-30 minutes before the session start time) or later, you will be charged the full session rate no-show fee.
If your family cancels more than 3x per quarter, we may recommend or request that you take a therapeutic break until able to better commit to therapy, especially if you’re unable to reschedule sessions. This ensures we aren’t putting other families that need services that are able to better commit on the wait list while your slot is regularly open. This is determined on a case by case basis depending on reasons for cancellation, reschedule rates, and the wait list length.
If you have extenuating circumstances, please let us know so that we can work out a plan.

We schedule sessions for 1 hour*. At your therapy time, the SLP will pull into your driveway and gather materials to bring into your home. The first 1-3 minutes may involve chatting about anything new that is pertinent to your child’s care. The SLP will treat your child and take notes to share with you. The last 10 minutes of the session involve cleaning up, discussing the session with the parent, and assigning “homework” for the week.
*Occasionally, we may offer 30-45 minute sessions if it works for a therapist’s schedule and a family feels it’s needed for their child. Virtual sessions can be as short as 15 minutes.

For liability reasons, we cannot be left alone in your house with your child. We ask that a parent, caregiver, nanny, or other responsible adult be somewhere at home and reachable in the case of an emergency. If you are unable to chat with us in person at the end of our session, we are happy to give you a call, chat with the available adult, or send a quick email to recap. We also leave a therapy note at the end of each session for your review.

When we arrive at your home for a 1-hour session, we will ask if there’s any important new information before beginning with your child. We will spend about 50 minutes directly treating your child - this will likely involve fun games and instructional material/exercises to help your child meet their goals in a fun, enjoyable way. The final 10 minutes will involve the SLP writing a note sheet for you to keep for your records. The therapist will also take this time to clean up and discuss the session and homework activities with the parent to ensure that everyone is on the same page and understands the best ways to support the child at home between sessions.

Your SLP will share how many sessions per week are recommended for your child’s specific case. Most children need therapy between 1-3x/week. If families cannot meet the recommendation for any reason, we are happy to work with you and support you in any capacity we can.

In an effort to keep everyone healthy, no charge will take place for sickness cancellations. If your child is sick, please notify your therapist in a timely manner. If you are unsure whether or not your child is sick enough to cancel, please discuss with your therapist. The therapist can decide if they feel comfortable entering your home and may make a request such as masking/working outside.

Because our therapists drive to you, we let them decide when they feel comfortable or uncomfortable driving. We often follow school cancellations as a guide for road conditions, but give our therapists’ full discretion as they drive across multiple counties and may have children of their own. Please do not assume a cancellation because school is closed; we will always contact you via email/text if we are cancelling a session. If your therapist deems appropriate for your child’s case, they will offer a virtual session in the case of inclement weather. If not, the session will be cancelled at no penalty to you.

We follow CDC guidelines and monitor the situation. At this time, we offer both in-person and virtual sessions. All of our therapists are vaccinated against COVID-19, and we encourage regular flu shots for our staff. We are currently treating mask-less, but are happy to wear a mask, clear or cloth, at your request. If a therapist asks you to where a mask for any reason (ex: they are seeing an immunocompromised individual soon, have an upcoming surgery, etc), we ask that you comply and respect their boundaries, as we always will respect yours.

We require a credit card be kept on file. You can pay with HSA/FSA or traditional debit/credit cards. Your card will be charged the day after services take place.
You can see your invoices at any time on the practice portal, and you will receive a monthly super bill by email and through the portal.

Every session, your therapist will provide a session note. This will include the date, a brief summary and data from the session, homework the therapist assigns, and your next scheduled session’s date and time for your reference. The therapist will scan it for our records before leaving the note with you.

We typically can accomodate meeting at home, parks, libraries, daycares, and schools, as long as it’s ok with your school/daycare. Please note that we need to be aware of your preferred location while scheduling to plan the correct driving time allotment between clients. It is at each therapist’s sole discretion where they feel comfortable treating your child.

Our therapists choose which holidays they want to work, if any. Some families take advantage of extra free time on holidays such as Memorial Day by scheduling extra sessions. Please confirm cancellations ahead of time and do not assume just because school is cancelled that your session is cancelled.

While we strive for perfect punctuality, we do sometimes run over on previous sessions, hit traffic, and get stuck behind red lights or trains! In the event that we are late, we will of course stay over and provide the full hour. For example, if your therapy time is 3:00 and your therapist usually begins recapping with you at 3:50 to leave around 4:00, and your therapist arrives at 3:07, they will begin recapping with you at 3:57. If your therapist is running more than 10 minutes late, we will give you a call and offer the option to reschedule if the time no longer works.

If the therapist arrives at your house and no one is there, they may wait a moment at your door to see if anyone is coming. They will attempt to contact you via text or phone call. If no one arrives after 10 minutes, the therapist will leave and your session will be cancelled and charged as a no-show (full session rate + driving fee).
If a therapist begins driving to your home or your child’s school before you cancel, you will be charged as a no-show. We encourage phone calls for last minute cancels to help families avoid no-show driving fees.
If you arrive late and the therapist is still there, the session will still end at it’s usual scheduled time. If the therapist’s schedule allows, they may offer you additional time, but you will be billed the session rate + the extra time in 15 minute increments.
Our therapists have tight schedules and their time is valuable, so we really appreciate your commitment to being present at your scheduled therapy time!

We hold your scheduled time for your child, seeing them at the same time each week. Two times per year, we ask parents to share their total availability to possibly change their therapy times. These two times occur: at the start of summer, and at the end of summer. This is because many families have changes, travel, camps, etc, due to the change of summer/schoolyear schedules. Allowing for flexibility and change ensures that the majority of families, including yours, can have their scheduling needs met. In the event that you need to change schedules due to changes in your extracurricular activities, etc, we will do our best to accomodate you, but cannot make any guarantees. We have a waiting list for families that we want to help but cannot currently schedule and will call first-come first-serve with new openings.

Please share that you’re moving as soon as possible. Because we drive from house to house, we may have to adjust your scheduled therapy time. If we can accomodate your child either virtually or in-person, we will do our best to continue treatment. If we cannot, we will happily communicate with and/or send documentation to your child’s new provider.

We love outside time at Top Sail! We are happy to treat outside as long as the temperature is between 50 and 80 degrees F with no major inclement weather. However, because of other factors such as allergies, mosquitos, sunburn, etc, it is at the therapist’s sole discretion where they feel comfortable treating your child each session.

This practice primarily focuses on treating children. However, we do offer services for adults on a case-by-case basis depending on our schedule, openings, and ability to provide quality services based on the client’s needs.

This is the million dollar question! Unfortunately, we cannot make any guarantees as every single case is unique. We do typically see much quicker progress than other services (schools, clinic) since we are in-home, 1:1, have more resources, and have more flexibility.
We have seen some clients reach all of their goals and perform age-appropriately within 8 sessions, and some clients remain in therapy for many years. The biggest factors for quick improvement are: 1. Carryover and completion of homework as your therapist recommends it. 2. The severity and nature of your child’s disorder/difficulty. 3. Attitude, behavior, and willingness of all parties to participate fully. And 4. Frequency of sessions.
